Ark Valley Helping Hands is looking for a part-time project coordinator to join the team

Job description and details are as follows:

Project Coordinator

Executive Director

Job Overview

The Project Coordinator will provide administrative support and take the lead on projects for members, which includes volunteer coordination. 

Responsibilities include effectively communicating with the executive director, members, volunteers and the general public; handling the majority of logistics required for projects and Seasonal Service events; working closely with ED to plan and implement educational sessions; maintaining the database; and handling all incoming calls, requests and applications. 

The ideal candidate enjoys working for a small, mission-driven nonprofit. He/she will work independently in his/her home office; must be personable and able to guide projects and all involved participants. 

This position requires flexibility, as events and educational sessions will likely occur on evenings and weekends.

Responsibilities and Duties

  • Manage main incoming emails, calls and texts. 

  • Oversee ongoing service requests to ensure needs are met within 10 days of entry.

  • Manage the database.

  • Facilitate outgoing tax letters to all donors.

  • Assist with volunteerism and onboarding:

    • Contribute to recruitment of volunteers.

    • Handle initial communications for the volunteer onboarding process. 

    • Run background checks and obtain necessary documentation.

  • Help recruit members, process new member applications and coordinate warm welcomes through the volunteer welcome team.

  • Execute primary logistics and tracking systems for Seasonal Service and projects (activity bag distribution, produce distribution, snow removal). 

  • Oversee volunteer(s) who assist with office tasks.

  • Meet regularly with ED.  

  • Perform miscellaneous duties as assigned.


  • Bachelor's degree in related field preferred.

  • Experience working with older adults in a community setting.

  • Nonprofit experience or similar experience.

  • Strong computer skills.

  • Current driver’s license and proof of auto insurance.

Skills and Abilities:

  • Attention to detail is necessary to thrive in this position.

  • Incredibly organized is a must.

  • Positive, strong communication skills, both verbal and written.

  • Patient, reliable and flexible. 

  • Comfortable working with older adults and community members.

  • Knowledge of Word, spreadsheet programs and Google Workspace.

  • Able to work at a computer for several hours at a time. 

  • Ability to walk, bend, stoop, and repeatedly get up and down during the workday. 

  • Good driving record.

Part-time position: 25 hours per week. $22 an hour. Benefits include paid time off and holidays.

We recently named Dave Sebern as our 2021 Volunteer of the Year!

Congrats to Dave!

Dave has been on the volunteer team since the start of AVHH in 2019 and also volunteered when our organization was part of A Little Help. 

From the get-go, Dave said that he wanted to complete one service request per week. 

In 2021, he gave about 200 hours and completed at least 45 service requests, landing him close to his personal goal of 52.

Alongside fulfilling ongoing requests, Dave served as a team lead for the 2021 Fall Service Day. For this service event, he completed tasks the day of and provided organizational and logistical assistance prior to the event. Dave's efforts included communicating with staff, scouting members’ homes and making phone calls to event volunteers and members.

He embodies all things good. Time and time again, he has gone above and beyond for AVHH members and our organization. Many members have gone out of their way to write letters about him or make a phone call to our office to express their gratitude for his excellent contribution.

Dave recently shared some thoughts about his time with AVHH:

“I enjoy doing small chores and have the tools necessary to do them. Some jobs are simple and take little time, such as changing light bulbs, installing storm windows in the fall, mopping the floor, cleaning a garage. It's very satisfying to know I have helped someone by eliminating a few of their nagging home related worries. I enjoy hearing their stories and getting to know those I’ve helped through the years.”

The Volunteer of the Year award was first devised last year and then scheduled for announcement/receipt early this year. The award will be given annually from this point forward to one select AVHH volunteer.
